The Proposal Writer/Coordinator is responsible for writing and coordinating proposals, assisting with the preparation of marketing materials, and assisting with the development and implementation of the company’s business development plan.

 

Position duties and responsibilities:

 

  • Responsible for all administrative aspects of proposal development - ensuring security and integrity of all proposal documentation coordinating internal flow and review of all proposal inputs, and directing production of final master proposal.
  • Review requests for RFQs and RFPs to develop a clear understanding of requirements and establish the required deliverables.
  • Coordinate the proposal response from initial inquiry to final submission, setting timelines and deliverables and ensuring milestones are met.
  • Extract/assemble, as required, from multiple sources the information needed to generate the proposal documents.
  • Maintain real-time development status of all proposal text and graphics.
    • When several team members/partners are involved in a submission, coordinate the information in such a manner that the submission has a uniform and coherent appearance and tone.
    • Create and maintain proposal narrative, project summaries, past performances, key experience data, success stories, discriminating accomplishments, and other collateral through collaboration with project team members.
    • Edit sections of a proposal, including technical/approach section, while maintaining deadlines.
    • Ability to conceptualize, develop and integrate graphics to convey proposed solutions.
    • While not responsible for costing within proposals, ensure that costing information contained in the proposals is properly and accurately presented.
    • Collaborate with the team in the preparation of materials required for selection interviews.
    • Participate in business development meetings.
    • Collaborate with the senior management, as required, in preparing and updating marketing collateral material.
    • Maintain corporate knowledge management resource (Microsoft SharePoint) to support proposal development efforts.
    • Contribute to, maintain and organize a database of proposal ready templates (boilerplate), project sheets, past performance summaries, and employee resumes/bios. Format, tailor and edit this data as required, while ensuring brand consistency. Where appropriate, capture any new language written for addition to the proposal database.
Preferred Skills:
  • Bachelor's degree (B.A./B.S.), preferably in English, Marketing, Communications or Public Relations.  Technical degree helpful but not required.
  • Minimum of 3-5 years of writing/publishing/graphics experience, in small government contractor setting.
  • Must be able to successfully pass a background check.
  • Advanced formatting skills using various software including Microsoft Office, PowerPoint, Excel and Outlook, and other graphics software (MS Project is desirable but not necessary).
  • Ability to work after normal business hours and weekends as required for timely proposal submission
  • Must have excellent verbal and written communication skills, superior organizational and time-management skills and the ability to multi-task, take initiative and work with minimal supervision.
  • An aptitude for understanding technical terminology
  • Ability to manage a large workload and adapt to reprioritization as dictated by business need.
  • Ability to gather information from a variety of sources and assemble together into a professional document.
  • Effective problem solving and analytical ability as applied to compliance and writing.
  • Demonstrated ability to interact with internal and external stakeholders with evidence of willingness and ability to express and protect company interests. 
  • Maintain a current awareness of ethical and regulatory requirements.
  • Ability to maintain high level of confidentiality.
  • Ability to create and maintain formal and informal networks.
  • Other duties may be assigned to meet business needs.
